Rosa Lëtzebuerg asbl is seeking to recruit an Administrative Officer for an immediate start or at a mutually agreed date, to support the administrative and operational organisation of the association and its services.
Your main tasks
- • Support the socio-pedagogical team, the Director and the Board of Directors in operational, administrative and organisational tasks;
- • Process and follow up on incoming and outgoing correspondence;
- • Plan, organise and monitor appointments, meetings and administrative deadlines;
- • Manage the administrative follow-up of members (membership tracking, database management, correspondence and communication with members);
- • Prepare, verify and transmit accounting records and financial documents to the fiduciary and ensure the administrative follow-up of accounting operations;
- • Manage and archive administrative documents;
- • Manage orders, monitor stock levels and coordinate with suppliers for materials, publications and office supplies of the association.
Your profile
- • Holder of a secondary school leaving certificate (general or technical secondary education);
- • At least 5 years of professional experience in a similar position;
- • Excellent organisational skills and ability to prioritise tasks;
- • Ability to work independently, in a structured and reliable manner, while collaborating effectively within a team;
- • Strong interpersonal skills and a service-oriented mindset;
- • Good command of standard office software;
- • Good administrative knowledge of accounting procedures and experience in preparing documents for a fiduciary;
- • Experience with the management software Odoo is considered an asset;
- • Proficiency in Luxembourgish, French, German and English;
- • Knowledge of the local LGBTIQ+ community is considered an advantage;
- • Flexibility regarding working hours.
